Office Manager (to the Executive Team)

About the position

 

We are looking for a versatile and highly-organized Personal Assistant to perform personalized administrative duties for senior management in high-level positions (Board Members, Senior Executives and C-Suit leaders), as well as government stakeholders. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of managers. You may also be required to make travel arrangements and assist with other duties when required.

To ensure success as a Personal Assistant, you should exhibit excellent organizational skills and demonstrable experience in a secretarial role. Accomplished personal assistants are intuitive to the needs of the managers and work autonomously to provide customized administrative support.

Responsibilities

 

  • You will perform a variety of administrative tasks and support our CEO. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

  • Liaising with the CEO, executives, employees, clients, and other external partners

  • Supporting in all administrative matters

  • Managing information flow in a timely and accurate manner

  • Managing CEO’s calendar and setting up meetings

  • Making all travel and accommodation arrangements at national and international levels

  • Preparing weekly, monthly, or quarterly reports

  • Preparing presentations

  • Acting as a CEO office manager by keeping up with office requests and supplies

  • Taking Minutes during meetings, actions and follow-up

  • Screening and re-directing phone calls and distributing correspondence

  • Scheduling, organizing and managing events

  • Managing expenses, invoices and accountability

  • Accompanying the CEO in his daily travels at regional, national and international levels if needed

Requirements

 

  • Superior Education degree

 

  • 5 – 10 years of professional experience 

 

  • Bilingual (English and another language would be a great asset)   

 

  • Excellent oral and written communication skills

  • You master MS Office and project management software

 

  • You have outstanding organizational and time management skills

​​

  • You have solid written and verbal communication skills

​

  • You have a high level of attention to detail and accuracy

 

  • You master discretion and confidentiality

​

  • You can cope with a fast-paced, ever-changing, and international environment

 

  • You have intuitive and able to communicate with people at every level

 

  • You are open to travel and overtime may be required

 

  • You are an expert in multi-tasking, & prioritizing

 

  • You have a strong ability to multi-task and solve problems quickly, resourcefully, and competently

 

  • You  have a dynamic personality and strong work ethic

  • Ability to prioritize and make clear-headed decisions while under pressure.
